What steps are involved in automating forms with TeleForm?
Automated data capture is a straightforward operation. The process requires five simple steps:
1. DESIGN. Design a new form or scan in an existing form.
2. DISTRIBUTION. Print forms to paper or PDF.
3. INTERPRETATION. Translate paper or electronic form data.
4. VALIDATE. Verify all data before it enters the database.
5. EXPORT. Automatically store data in the correct format with no manual intervention
How much money can we save with TeleForm? You can typically eliminate 75% of your current data entry costs.
How much IT involvement is necessary to install and manage TeleForm? You do not need IT to design forms, scan forms or save data to a spreadsheet. You may need IT help to get the data from the scanning software into a database if you are not familiar with databases.
Is TeleForm affordable? It’s difficult to estimate system costs because of variables such as volume, validations, form type and form complexity. If you can give us a 5 minute overview of your problem, we can give you a quote over the phone.
Can TeleForm work with existing systems? Yes. We need a form, which can be originally designed in any program, printed and then scanned. We need to capture images, which can come from any device that can capture an image such as a fax server, digital photocopier or MFP device. We send data to your existing databases via ASCII, ODBC or XML. TeleForm software runs on Windows servers and workstations.
Will TeleForm grow with us? In a network configuration, all tasks such as scanning, verifying and exporting are distributed to individual computers. To add an additional exporting station, you simply load that module on an additional computer. This makes it simple to handle growth.
Will TeleForm work with users of all levels? You need to have some computer knowledge to design forms. Scanning and verifying can be done by almost anyone with less than an hour of training. Most other processes are run unattended.
I have a forms processing system already, how can TeleForm help? We can look at each of your system components (hardware, software, form definition, programming, etc.) and identify areas where accuracy and processing can be improved with TeleForm.
Can TeleForm read forms where the data varies from page to page? Yes, we can read both fixed and variable data forms.
What data formats can TeleForm export to? TeleForm can export data directly to databases or spreadsheets and can create text files or xml files.
What image formats can TeleForm save? TeleForm can save images .tif, .jpg and .pdf formats.
What is ICR? ICR (intelligent character recognition or constrained handprint recognition) is the use of software algorithms to read handprinted characters. This can include alpha, numeric, and alpha-numeric characters. Fields are typically designed using boxes so each character is separated when written. With ICR, there are generally some characters the software can’t read because there are a large number of possibilities and everyone writes differently.
What is OMR? OMR (optical mark recognition) is the use of software algorithms to recognize whether a closed shape is filled in or not. Example might include choice fields (e.g. Good/Fair/Bad) or entry fields (e.g. Social Security Number). Typical shapes are bubbles or boxes. OMR is generally 99.99% accurate.
What is OCR? OCR (optical character or machine print recogntion) is the use of software algorithms to recognize machine printed text on an image. Examples might include a page number or a pre-printed code. OCR is generally 99.99% accurate if the machine print is clear. If not, some characters may need to be reviewed.
What scanners work with TeleForm? TeleForm is compatible with any TWAIN scanner and can also pick up images from a network folder that originated via a fax machine, copier or other device.
